1. Who we are
This Privacy Policy describes how Maxx Shop Systems LLC (“we,” “us,” or “our”) collects, uses, stores, and shares information when you use:
- ShopMaxx — shop-floor software (work orders, inventory, time, billing, and related tools);
- Our marketing website at maxxshopsystems.com (and related subdomains such as app hosts);
- Account signup, login, owner/support tools, and optional subscription billing;
- The ShopMaxx web app and optional mobile/client apps that connect to a ShopMaxx server you or we operate.
ShopMaxx is product software for manufacturers and shops. We built it for real shop floors — and we treat shop and customer data as business-critical.
2. Scope of this policy
This policy covers personal information and shop operational data processed in connection with Maxx Systems products and websites.
- SaaS / hosted accounts: When you sign up for ShopMaxx online, we process account and service data on infrastructure we (or our hosting partners) operate.
- Private / self-hosted servers: If you run ShopMaxx on your own machine or private server, most job, inventory, and customer data stays on systems you control. We only receive data you send to us (for example support email, website contact forms, or optional cloud features you enable).
- Your customers’ data: When you enter your end-customers’ names, phones, or job details into ShopMaxx, you are the controller of that data. We process it only to provide the service to you (as a processor / service provider), according to your instructions and this policy.
3. Information we collect
3.1 Account & identity
- Shop / company name
- Email address
- Login username and authentication credentials (for example a PIN or password — stored hashed, not as plain text when processed by our server)
- Account tier / plan, subscription status, and related billing metadata
- Optional support notes and profile details you or our owner staff record for service
3.2 Shop operational data (inside ShopMaxx)
Depending on features you use and your plan, the app may store:
- Jobs / work orders, quotes, process steps, and job status
- Customer and contact details you enter (names, phones, emails, PO numbers)
- Inventory, remnants, materials, costs, and related records
- Labor / punch I/O time entries and user activity needed to run the shop
- Billing fields, invoices you generate, payment method labels/refs you enter
- Settings, branding (Look), users/roles, and preferences
- Files you upload (for example DXF or reference images) when those features are enabled
- Optional integrations data (for example QuickBooks Online tokens and synced lists if you connect QBO)
3.3 Website & communications
- Messages you send via contact forms or email (for example to info@maxxshopsystems.com)
- Basic technical logs: IP address, browser/user agent, timestamps, and request paths needed for security and reliability
- Marketing site interactions that help us operate the site (see Cookies below)
3.4 Payments
Online card billing may be offered for subscriptions. When card payments are enabled, payment card details are typically processed by a third-party payment provider (for example Stripe or similar). We do not intend to store full card numbers on ShopMaxx servers. We may store subscription status, plan tier, and non-sensitive billing references.
During beta periods, card charging may be disabled while account activation still works — in that case we process only the account information needed to run the beta.
3.5 What we do not intentionally collect
- We do not sell your personal information.
- We do not require sensitive government ID numbers for standard shop use.
- We do not use your shop job data to train public AI models for third parties.
Optional in-app assistants (for example “Maxx”) may send the questions you type to an AI provider to generate answers. Avoid pasting secrets or unnecessary personal data into those chats.
4. How we use information
We use information to:
- Provide, operate, secure, and improve ShopMaxx and related services
- Create and manage accounts, authentication, and plan/tier entitlements
- Process subscriptions and invoices when billing is enabled
- Respond to support requests and contact-form messages
- Prevent abuse, fraud, and unauthorized access
- Meet legal obligations and enforce our terms
- Communicate service notices (for example security or material product changes)
5. How we share information
We share data only as needed to run the product:
- Service providers — hosting, email delivery, error/logging, payment processors, and similar vendors under contracts that limit use of your data.
- Integrations you enable — for example QuickBooks Online, if you connect it; data then flows under that provider’s terms as well as ours.
- Legal requirements — if required by law, court order, or to protect rights, safety, and security.
- Business transfers — if Maxx Systems is involved in a merger, acquisition, or asset sale, information may transfer under continued confidentiality protections.
We do not sell personal information or shop customer lists to data brokers.
6. Storage, security & location
- We use reasonable technical and organizational measures (access controls, hashed credentials, session tokens, least-privilege practices where applicable).
- No method of transmission or storage is 100% secure. You are responsible for keeping PINs/passwords confidential and for securing private-server installs you operate.
- Data may be stored and processed in the United States or other regions where we or our providers operate.
- For private-server deployments, your organization is responsible for backups, disk encryption, network access, and local compliance.
7. Cookies, local storage & similar technologies
We and the ShopMaxx client may use:
- Session / auth tokens (for example browser storage or cookies) so you stay signed in
- Local preferences (theme, sidebar order, session timeout settings, license cache)
- Security and operational cookies needed for the site and app to function
- Analytics (marketing site only) — Google Analytics 4, only with your consent via the cookie banner
On marketing pages, Google Analytics loads only after you choose Accept analytics (stored as smx_cookie_consent). The shop app uses storage for login and preferences, not advertising trackers. You can clear site data in your browser; doing so may sign you out, reset preferences, or show the cookie banner again.
8. Retention
We retain account and service data for as long as your account is active and as needed to provide the service, resolve disputes, enforce agreements, and meet legal requirements. Shop operational records (jobs, inventory, etc.) remain until you or your admin delete them, or until an account is closed and purge windows complete, subject to backup retention.
You may request account closure or data export by contacting us (see Contact). Private-server installs can export or delete data under your control.
9. Your rights & choices
Depending on your location (for example certain U.S. state laws or GDPR if applicable), you may have rights to:
- Access or export personal information we hold about you
- Correct inaccurate account information
- Request deletion (subject to legal and operational limits)
- Object to or restrict certain processing
- Withdraw consent where processing is consent-based
To exercise rights, email info@maxxshopsystems.com with enough detail to verify your request. If you are an end-customer of a shop using ShopMaxx, please contact that shop first — they control most of your job/contact data in their account.
10. Children’s privacy
ShopMaxx is a business product and is not directed to children under 13 (or under 16 where applicable). We do not knowingly collect personal information from children. If you believe a child provided data, contact us and we will take appropriate steps.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and change the “Last updated” date. Material changes may also be communicated by email or in-product notice when appropriate. Continued use after an update means you accept the revised policy.
