2. What this policy covers
This Refund & Cancellation Policy applies to paid and free ShopMaxx subscriptions and related Maxx Systems SaaS offerings sold on maxxshopsystems.com (and app.maxxshopsystems.com where billing is linked to your account).
It is part of our overall agreement with you, together with the Terms of Service and Privacy Policy. If something here conflicts with a written enterprise agreement we signed with your company, that written agreement controls for that customer.
This policy does not cover third-party products you connect yourself (for example QuickBooks Online, domain hosts, or payment processors’ own fees).
3. How to cancel
3.1 Request cancellation
You may cancel renewal or close your account by any of the following:
- Email info@maxxshopsystems.com from the email on your account, with company name and (if known) account username; or
- Use in-app Settings → Subscription / billing or the marketing Account page when a cancel control is available; or
- Ask us via the website contact form and clearly request cancellation.
3.2 When cancellation takes effect
- Paid recurring plans: cancellation stops future renewals. Access typically continues through the end of the current paid period unless we suspend the account for breach of the Terms or unpaid amounts.
- Immediate closure: if you ask us to close the account immediately, we may end access before period end; that does not automatically create a refund (see Refunds).
- Free / Base: you may stop using ShopMaxx any time; we may deactivate inactive free accounts after notice.
3.3 Our cancellation
We may suspend or terminate access for unpaid invoices, Terms violations, fraud, or abuse, as described in the Terms. Where practical we will notify the account email.
4. What happens after you cancel
- Recurring charges stop for future periods once cancellation is processed.
- Paid features stay available until the end of the current paid term (unless you request immediate closure or the account is suspended).
- After access ends, login may be limited or removed; store your own exports first.
- We may retain limited account and billing records as required for tax, legal, and security purposes (see Privacy Policy).
5. Refunds
5.1 General rule
Unless required by applicable law or we agree otherwise in writing, subscription fees already charged are non-refundable, including partial periods, unused seats, unused job quotas, or unused features.
5.2 When we may issue a refund
We may, at our discretion or when required by law, refund or credit all or part of a charge when, for example:
- You were charged twice for the same period (duplicate billing error);
- You were charged after we confirmed cancellation effective before that period started;
- There was a clear processing or pricing error on our side;
- Local consumer law gives you a right of withdrawal or similar protection that applies to your purchase.
5.3 How to request a refund
Email info@maxxshopsystems.com within 30 days of the charge, and include:
- Account / company name and login email;
- Approximate date and amount of the charge;
- Payment method last four digits if available;
- Short description of the problem.
Approved refunds are returned to the original payment method when possible and may take several business days after we approve them (plus your bank or card network’s processing time).
5.4 What is not refundable (examples)
- Change of mind after a paid period has started, if the service was available under your plan;
- Failure to cancel before a renewal date when you still had access to cancel or contact us;
- Downtime or third-party outages that do not amount to a material failure of the core Service under the Terms;
- Fees charged by third parties (your bank, QBO, etc.).
6. Upgrades, downgrades & plan changes
- Upgrades: moving to a higher tier may be billed immediately (prorated or full period, depending on how billing is configured). Those charges follow the same refund rules as other fees.
- Downgrades: take effect at the next renewal when possible. We generally do not refund the difference for the remainder of a higher-tier period already paid.
- Feature availability is controlled by your live license/entitlements; marketing plan text is a guide only.
7. Beta, trials & periods without payment
During beta or promotions we may allow signup and use without collecting payment. When no fee was charged, there is nothing to refund. Turning on paid billing later does not automatically charge past free use unless we clearly disclosed that.
Free trials (if offered) convert to paid only as disclosed at signup or on the payment page. Cancel before the trial ends to avoid the first paid charge.
8. Card disputes & chargebacks
Please contact us first so we can fix billing mistakes quickly. Chargebacks filed without first contacting us may delay account recovery and can result in suspension until the dispute is resolved.
9. Your shop data after cancel
- You own the job, inventory, and customer data you enter (see Terms).
- Export or back up important data before cancellation when possible (Settings backups / export tools, or ask us for help).
- After closure we may delete or de-identify shop content after a reasonable retention window, subject to legal holds and the Privacy Policy.
